Harvard 2012 Conference Frequently Asked Questions

What is the application process for the Harvard Conference?

In order to attend HPAIR conferences, delegates must successfully complete these procedures:

  • First, you must fill out and submit an application before the deadlines (listed below).
  • If accepted, you must then fill out the online registration form and pay the conference fee. You can register online only AFTER receiving notification of your acceptance.
  • Closer to the date of the conference, you are expected to fill out a pre-arrival survey.

Who can apply?

Current college students and college graduates may apply to HPAIR conferences.

When are the application deadlines?

The application deadlines are as follows:

  • Early application deadline: December 2, 2011
  • Regular application deadline: December 16, 2011

When will I be notified of the application decision?

Early round applicants will be notified in mid-December and regular round applicants will be notified at the beginning of January.

How do I register for the Harvard 2012 Conference?

When are the registration deadlines?

The registration deadlines and fees are as follows:

  • Early Registration (deadline on January 14th): $270
  • Regular Registration (deadline on January 28th): $290

How do I pay the registration fee?

You will have to pay your registration fee when filling out the online registration form for the conference. Because HPAIR uses Paypal, delegates will need to use a debit or credit card. Your online registration is NOT complete until you have successfully submitted both your online registration form and your registration payment.

How do I cancel my registration?

Please email hconf-help@hpair.org for cancellation.

How do I cancel payment?

Should you cancel your registration due to a change in plans, please note the following refund scheme:

  • On or before January 13, 2012: 90% refund of all payments.
  • On or before February 2, 2012: 50% refund of all payments.

Please note that all refunds are final and release your reservation for a spot at the conference; if you elect to re-register after having cancelled, you will only be allowed to do so if there is still space available in your panel.

How do I apply for a visa?

HPAIR will issue an acceptance or support letter for the visa application but cannot endorse applicants. It is the personal responsibility of the applicant to obtain a visa in time for the conference.

Can I present a paper or research thesis at the conference?

No. The Harvard Conference will not be holding paper presentations.

What meals will be provided at the conference?

During the HPAIR conference, there will be coffee breaks throughout the conference where refreshments will be provided. HPAIR will also provide lunches throughout the conference and a Gala Dinner during the closing ceremony. Delegates are responsible for other meals.

Will accommodation be provided?

All delegates are welcome to apply for Harvard housing for the duration of the conference. A current Harvard student will host delegates in his/her dorm. However, this accommodation is given on a first-come-first-serve basis. Those who do not receive dormitory housing and those who would prefer to stay in a hotel or hostel must arrange their own accommodation.
